RoboCon 2024 was a four-day in-person conference taking place in Helsinki and the flagship event within the Robot Framework community, providing a platform for members to come together for learning, knowledge exchange, and socializing.

Challenges

The event organizers faced three challenges: convincing attendees to download the Gridaly event app, which acted as a source of information and place for interaction, boosting attendee engagement and maintaining it throughout the four-day event, and collecting detailed feedback from the community regarding the event's content.

Results

An impressive 81% app download rate was attained among attendees and the introduction of a hybrid gamification experience proved highly captivating, leading to continued attendee participation throughout the event. The organizers received substantial feedback, with 932 agenda ratings and 181 detailed comments from participants, offering valuable insights for future enhancements.

The event organizers attained an 81% download rate for the Gridaly event app through a comprehensive campaign strategy. They initiated an email campaign directed at their community, outlining the app's benefits for attendees to encourage its adoption. This focused outreach effectively explained the app's usefulness, encouraging event participants to download it. Additionally, during the conference's opening segment, the organizers showcased the event app and its functionalities through a step-by-step guide. They also provided convenient QR codes, which were hung in the venue as posters, linking directly to Google Play and the App Store for quick download access.

Hybrid gamification and a social wall for high attendee engagement

The integration of a gamification experience into the event app played a crucial role in enhancing attendee engagement and sustaining it over the four-day event. This hybrid gamification approach combined tasks both within the event venue and within the app itself, providing participants with a dynamic and interactive experience. Attendees were encouraged to complete various tasks, such as visiting sponsor booths and taking pictures with peers in the venue or taking quizzes and rating agenda points through the app. As a reward for completing these tasks, participants received stickers that they could then affix to their ID badges, creating a visible representation of their achievements. The appropriate number of collected stickers also entitled them to participate in the raffle for prizes. Additionally, the social wall served as a platform for attendees to propose topics for Lightning Talks, which were open-call on-stage presentations.

Through analysis of this data, organizers gained deeper insights into which agenda items resonated most positively with attendees.
