Digital Dragons is one of the largest European B2B events for the game industry, organized by the Krakow Technology Park. The event brings together representatives of the global video game industry (both large publishers and independent developers), offering a platform to establish business contacts, exchange knowledge, and present the latest developments in the industry.

Challenges

The organizers of Digital Dragons 2024 faced the challenge of comprehensively managing various aspects of the event. Key issues included:

1. Creating an attractive and functional event website with ticket sales, multi-currency payments, supporting competition entry forms and call for speakers.

2. Implementing a mobile app to increase participant engagement and facilitate event navigation and networking.

3. Enabling attendees to vote for contest entries through the mobile app.

4. Implementing an advanced check-in system to improve participant verification at various points in the program, control access to VIP areas, and control the allocation of food truck meals.

2,600 registered participants and 198 entries to the Indie Showcase 

Using Gridaly's page builder, the organizers created a modern, user-friendly landing page that let participants easily access event details and buy tickets in three currencies (PLN, EUR, USD). Separate landing pages were created for the Indie Showcase competition and Call for Speakers submissions. This made it simple for participants to submit entries and for organizers to manage them. As a result, 2,600 attendees bought tickets and got event information effortlessly, and 198 creators submitted their projects to the Indie Showcase.

Higher attendee engagement with the Gridaly Event App 

The Gridaly Event App, featuring an event map, networking and matchmaking tools, and an event graphics generator, became essential for attendees. It helped them navigate the venue easily and connect with industry peers effectively. Before the conference, participants used the app to create and share event graphics on social media, promoting the event and engaging their online communities. The organizers provided multiple versions of these graphics, including ones for exhibitors and company representatives.

Easy voting in the mobile app

Integrating the voting module into the Gridaly mobile app allowed participants to view contest entries and cast votes, making the voting process simple and convenient. Winners received audience prizes, which further increased participant engagement.

Advanced check-in options for better attendee management

A QR code-based check-in system on attendee ID badges improved access control to lecture halls, VIP areas, and food trucks. This enabled event staff to quickly verify attendees before they entered specific sessions, especially those with limits or requiring pre-registration. At the food trucks, participants used their QR codes to claim a free meal once a day, with the system ensuring quick verification of their meal entitlement.
