Women in Tech Camp is a team-building camp for the most talented female students of IT-related fields from Polish universities.

Challenges

The event posed numerous challenges for the organizers: effectively managing diverse attendee groups and personalizing their experiences, integrating live streaming within the app, engaging the community throughout the 4-day event, and facilitating seamless attendee-organizer communication, while ensuring easy feedback collection.

Results

The event achieved significant results. 9 predefined event agendas were created based on 9 tags assigned during registration. High attendee engagement was reached with almost everyone participating in social wall posts or gamification and 1 out of 2 attendees completed the feedback survey.

The initial challenge for the event was to create several predefined event agendas based on the information provided in the registration form. Registration was conducted through the organizer's website, where attendees submitted personal information and selected their areas of interest by ticking corresponding fields in the form. These interests were then translated into 9 tags and integrated into the exported file.

Importing the attendee list into Gridaly not only ensured maximum accuracy and efficiency but also utilized the 9 tags to generate 9 predefined agendas. Depending on the tag assigned to an attendee, a corresponding predefined agenda awaited them in the event app before the start of the event. Attendees had the option to customize their agendas by adding or removing agenda points according to their preferences.

High attendee engagement rate thanks to a social wall and gamification

The organizers effectively utilized Gridaly's event app to enhance participant engagement through two key features: a social wall and gamification. The social wall functioned as a digital space similar to a social media feed, allowing attendees to post content, share thoughts, and engage in discussions. Participants actively contributed by sharing event photos, discussing specific agenda points, and initiating discussions that spurred further interactions.

Additionally, the incorporation of gamification within the app incentivized attendees to explore its features and engage with event content. Through a series of tasks and challenges, attendees earned points and badges for completing various activities, many of which were centered around exploring the app's functionalities and event offerings. Some tasks required attendees to scan QR codes at sponsor booths, promoting interaction with event partners.

To encourage ongoing participation, a live leaderboard displayed the top gamification players, motivating attendees to compete for the top spots and fostering a sense of friendly competition. This strategic integration of social engagement and gamification not only enriched the attendee experience but also increased visibility and participation for event sponsors and partners.

Implementing the social wall and launching gamification significantly increased attendee engagement: almost all participants actively took part in gamification or posted on the social wall.

Smooth attendee-organizer communication

Effective communication between attendees and organizers as well as encouraging attendee feedback were central to the event's success strategy. To achieve this, the organizers implemented two distinct sections within the event app. The first provided a comprehensive list of all event organizers, ensuring attendees always knew whom to contact for inquiries regarding the event itself. Meanwhile, a dedicated helpdesk section featured a curated list of people responsible for technical issues, accompanied by a direct link to a support chat for inquiries related to the event app or technical aspects.

Additionally, a series of in-app notifications was prepared before the event started. They were triggered at defined times to keep attendees informed about event activities and organizational matters, thus ensuring they stayed up-to-date and didn't miss any important updates.

Custom forms and agenda ratings were used to gather feedback during and after the event. Attendees could rate each agenda point on a scale of 1 to 5 stars, providing valuable insights into the effectiveness of the sessions. Furthermore, two custom feedback surveys were created—one for attendees and the other for speakers—allowing for comprehensive feedback collection and further analysis. As a result, half of the attendees filled out the form and submitted their feedback.
